Child Care Subsidy: 3 Month Job Search Coding Examples

3 Month Job Search Approval and Closure

Client applies for child care and requests job search during the interview/phone call or chooses it when offered by the worker. The process is a child care certification to first open the line and then close 90 days out. The approval and closure must be completed in two separate actions. If there is open SNAP, follow CARDR instructions for linking the card.

New Job During Job Search Period

Client reports that a new job has been secured during the job search period. Once verifications are provided, a new certification will need to be coded for the day after the date of closure. The child care authorization needs to be reopened with the need factor code updated to employment.

New Job Within 30 Days of Closure

Client reports a new job has been secured, but the start date occurs after the date that is set to close out the job search period. If the job is to start more than 30 days from the closure date, a new child care application is required.

A different procedure is used if the start date is within 30 days of the job search period closure date.

Change of Provider During the Job Search Period

Client was approved for job search child care effective October 5, 2023 and is approved for 3 months of child care. The client calls on November 1, 2023 to request a change of provider for her child. The child started attending the new provider that day.

Since the E-section and authorization are already closed on the case, the worker must use the “Job Search Change of Providers” process to add a gap authorization to approve the new provider. The begin date is the date the child starts attending the new provider. The end date is the last date of the job search period – January 5, 2024.

Adding Children to Care During the Job Search Period

When a client requests to add a child to the job search approval that was not originally included in the benefit, the worker uses the “Job Search Change of Providers” process to add a gap authorization to approve the additional child. The begin date for the additional child’s child care should be no sooner than the first date the client requested care for that child.

**If you receive the PSEKX41 – person not added for services edit, add the children to the social services on the household tab (K/A.)

**When the end date for the child care falls between the 27th and the last day of the month, you will receive the edit that states:

PSEKX51 – End date in K47 is incorrect. Additional information: if K8 auth type equals “DC” and k12 action taken equals “1” or “R”, then k47 end date cannot be later than the last day of the month after next.

The worker should code the actual end date of the job search child care (3 months from the approval date) and send a Remedy ticket to clear the edit.
