Systems Help: PS2 Instructions – Section K (TANF Work Authorization)

The following are descriptions/ instructions of each Section K (TANF Work Authorization) field in IMS.

Field: Authorization Number.
PS-2 Block: K1
Instructions: Computer determined on new authorization and keyed for updates to existing ones.

Field: Person Number.
PS-2 Block: K4
Instructions: Enter PS-2 Person number.

NOTE: Select the household member about whom you want to collect eligibility determination information for TANF Work services.

Field: Authorization Type.
PS-2 Block: K8
Instructions: ET indicates TANF Work activity.

NOTE: This block must be entered when adding a new authorization.

When entering an authorization in FACS, the computer recognizes the use of the Auth ET&E Tab and enters this field automatically.

Field: Action Taken.
PS-2 Block: K12
Instructions: Enter one of the following codes.

  • 1 = Open.
  • 6 = Closed.
  • C = Change.

Field: Reason.
PS-2 Block: K16
Instructions: Enter a code to show why TANF Work activity was closed.

Reason for Closure:

  • 1 = Death of client.
  • 70 = Good cause no longer applicable.
  • 80 = Completed activity as defined by provider of activity.
  • 81 = Completed activity as defined by provider of activity and entered another TANF Work component.
  • 82 = Illness, injury or physical incapacity.
  • 83 = Substance abuse or dependence.
  • 84 = Illness of dependent child or other dependent person requiring the participants care.
  • 85 = Lost or had other problems with child care.
  • 86 = Lost or had other problems with transportation.
  • 87 = Moved out of state.
  • 88 = Dropped out of activity without explanation or other reasons not listed above.

PS-2 Block: K20
Instructions: Enter the TANF Work activity person is doing.

Job Readiness Components:

  • EA = Adult Basic Education.
  • EG = GED for adults 20 and over.
  • EH = High school or GED for minor parent under 20
  • EL = Literacy classes.
  • ES = ESL English as Second Language (ESL).
  • ET = KEYTRAIN
  • MH = Mental health.
  • SA = Substance Abuse.
  • WT = Assessments
  • WU = Employment counseling.

Good Cause

  • GC = Good Cause.

Training Components

  • CP = Community Partners
  • SP = Short Term Job Training
  • TO = Orientation.
  • TV = Vocational training.
  • TW = Work Experience

Employment Components

  • TT = OJT.
  • WE = Job Search.
  • WF = Employment – full time.
  • WP = Employment – part time.
  • WR = Subsidized Public Sector Employment
  • TZ = Subsidized Public Sector Employment

Hardship Extensions

  • XA = Substance Abuse
  • XC = Chronically Under-Employed
  • XD = Disabled Individual
  • XM = Mental Illness>/
  • XS = Pending SSI/SSA Disability
  • XT = Training/Education
  • XU = Under Employment

PS-2 Block: K39
Instructions: Enter the source of activity. Abbreviate if necessary. If K20 equals GC, enter the reason for good cause.

NOTE: Make sure to enter something in this field that is specific enough to be identifiable as this is the block that shows on the ETE screen in IMS. Avoid entering things such as “DHS” as this could mean an orientation or WEP component.

PS-2 Block: K45
Instructions: Enter date activity began or change occurred.

Instructions: Enter date activity ended.

NOTE: This date should be the actual date the client stopped participating in the activity, not a future date.

Instructions: Enter number of hours activity is scheduled per week. Does not apply to GC component.

PS-2 Block: K60
Instructions: Enter hourly wage earned if salary is received. Required for TJ, TT, WF, WP and WR components. Does not apply for GC component.

NOTE: Enter the hourly wage including dollars and cents, using a decimal point.

PS-2 Block: K61
Instructions: If an hourly wage was entered, list the occupation code. Codes are available on M<space>OCODE. Does not apply to GC component.

PS-2 Block: K62
Instructions: Enter date the activity should be achieved or reviewed.

NOTE: All authorizations should be reviewed every three months or sooner depending on when the activity is scheduled to end.
