Access EKL screen for the case.
- In IMS, enter EKL case number
- Tab down to the correct authorization and enter ETPANEW
- FOR MONTH – Enter the month and year of the TW13 in MM/YY format.
- On the upper portion enter an E with the number of hours the client was absent for that day for each excused absence and an H for each holiday.
- On the lower portion you have to re-enter the component and authorization number and add the correct number of actual hours of participation each day from the TW-13.
- WORKER – Enter your U-Number
- SUPERVISOR – Enter your U-Number
- PROCESSING CODE – Enter ‘C’ and press enter to calculate the hours and benefits.
- Change ‘C’ to ‘Y’ to process the payment.
NOTE: The screen to use for entering a TW-13 can also be accessed by entering the following in IMS.
ETE (space) case number.
The ETPAI screen can be used to look at existing participation hours already recorded. When entering information on ETPANEW ‘For Month’ the month and then year are entered but on ETPAI ‘For Month’ are read as year and then month.
Once the TW13 has been entered and processed on ETPANEW at the bottom of the screen it will show how much the client will receive as a participation allowance for that activity for that time period. This will include the Holiday and Excused Absence hours and participation pay.
Once the money is issued it will appear on the BN screen on IMS with a ‘CE’ next to the EW. The money will actually be on the client’s Master Card the next business day after 9:00 a.m.
**Be sure to document in FACS case notes the participation month, amount issued, and hours completed.**
Because a TW-13 Form 08TW013E is required from each participant twice a month it is important that each client have a supply of the forms given to them when they sign their Employability Plan on the TW2. The client will provide page 1 and 2 back to the worker by the 20th of the current month and page 3 and 4 by the 5th of the following month. An ADM-92 should be used as a reminder and sent to the client if the TW-13 is not received by the appropriate.
Authorizations for employment such as WP (Work part-time), WF (Work full-time) or TT (On the job training) also need to be entered. These types of authorizations will calculate the hours of participation but it will not issue a participation allowance for these activities. Only in cases of employment can the worker complete the TW13 based on the check stubs provided by the clientor based on the hours verified by the employer. The TW13 is entered in the computer on ETPANEW as normal. Holiday and Excused Absences do not apply to paid work activites.
