Administrative Assistant Processes: How to Update Driver’s License Information in HRIS

Employee’s valid vehicle insurance expiration must be updated as needed in HRIS system.

Driver Status field should be left blank if both dates (driver’s license and insurance expiration) are entered.

HRIS DL 1

“LDA” is applicable when the employee has a driver’s license but does not have insurance.

Example for LDA: They have to provide insurance verification if they drive to work or they are coded differently in HRIS. If they do not have a car and for instance take public transportation or walk, then they are coded as “LDA” in HRIS and only have to provide an updated DL. However, if they drive to work, then they have to carry insurance.

HRIS DL 2

“ND” is applicable when the employee does not have a driver’s license. However, a valid Oklahoma Driver’s License is required if an employee may be required to use a vehicle to conduct DHS business.
