Long Term Care (LTC): Searching Property Records: Canadian County and Cleveland County

  1. Canadian and Cleveland County use the same search engine, but require a separate log on for EACH county. Once you receive your User ID for each, you can change the password to match so you only have to remember one password.
  2. Location of Web Pages:

  3. General Usage Instructions:

Anyone can use the site and search the records and see the results. However, a User ID and Password is required if you intend to print the actual scanned documents.

    • To obtain your free User ID and Password, call the Canadian County Clerk’s office at 405-295-6130. Then you can LOG-IN to the site by selecting “Login” in the upper right area of the screen.
    • The next screen then gives you access to their web site by selecting “Index Search” in the upper right hand area of the screen. Then select “Accept” on the bottom of the Disclaimer Page. Then click and select the “Name” method of searching and you are ready to enter the client’s name.
    • If you do NOT want to be able to view and print the actual documents, then do not log-in, but just enter your search criteria and click on “Submit”. The “Searching Records” portion of this page gives you more tips and tricks on usage of the site.
  4. Searching Records:

    • Enter your search criterion (which is usually the client’s Last Name and then first Name) and click “Submit”. If there is a match you will get a screen showing a lot of information. The Title Bar is two lines of information as shown in the picture below, but this page is intended to help you narrow your search. You can see more specific document information, and print it if you are logged in, by clicking the document hyperlink:

    • If you do not get a match on the First Name and Last Name
      • Check that you are spelling it the same way that the client does when they conduct business.
      • You can limit the search to Last Name and then search the results (this may help you find “Katherine” rather than “Kathy”. If the Last Name is common (such as Smith), you may get too many results to use effectively.
      • By using only the Last Name, you may find different Trust or LLC results that match which you can then search to match on address or middle name to either rule them in or out as belonging to your client. Propery placed into a Trust or LLC may not have the clients name associated with it even though they belong to the Trust or LLC. The County Property Tax documents should list the name on the property, but you will need to request one for each property to check them individually.
  5. Understanding the Results:

    • The “Instrument Type” results are returned with abbreviations. These abbreviations are listed in the Instruments Categories document.
    • The amount of the transaction is listed in dollar amounts of action, not Document Stamps. However, the actual document will be stamped showing Document Stamp amount.
    • It is always considered best practice to request the client to provide actual documents of current ownership. The actual documents help us to learn if the client kept a life estate when she sold, or only received a life estate when she received the property. Did they transfer the minerals under the property as well? Has the latest deed been filed or is it being held by the client (Chest of Drawers Deed).
