Oklahoma County Records provides online access for land and mineral records that are filed with the County Clerk in over 60 counties. DHS does not have a subscription to this website, so you cannot view the actual document. You are able to view the title of the documents that were filed; e.g., Mineral Deeds and Oil and Gas Leases, the individuals or companies that were a party to the transaction, the legal description of the mineral rights that were conveyed or leased, and the book and page number where the documents are filed in the County Clerk’s office. The following is to assist you and your client to obtain document from the County Clerk for the county where the mineral interest is located.

General Usage Instructions
- Serves all counties EXCEPT: Caddo, Canadian, Cleveland, Creek, Garfield, Hughes, Oklahoma, Payne, Rogers, Tulsa, Wagoner, and Woods.
Please note that there are other Searching Property Record resources for counties not serviced by OK County Records online. - Anyone can use the site, search the records and see the results. You must purchase a User ID and Password to see the scanned documents.
Searching Records
- The link above will take you directly to the search screen. Below the search box, there is a list of counties. If you search without choosing a county, you get results for all counties. The county option is to help you filter your results.
- Enter your search criteria in the search box and hit ENTER.
- The results will return and you can see a lot of information that will help you determine which result you want to see. You can click on the “TYPE” hyperlink for that documents details which includes the book and page number so you can research it at the court house, example shown here:
- If you do not get a match on the First Name and Last Name
- Check that you are spelling it the same way that the client does when they conduct business.
- You can limit the search to Last Name and then search the results (this may help you find “Katherine” rather than “Kathy”. If the Last Name is common (such as Smith), you may get too many results to use effectively.
- By using only the Last Name, you may find different Trust or LLC results that match which you can then search to match on address or middle name to either rule them in or out as belonging to your client. Property placed into a Trust or LLC may not have the clients name associated with it even though they belong to the Trust or LLC. The County Property Tax documents should list the name on the property, but you will need to request one for each property to check them individually.
- After all properties have been identified and Fair Market Values determined, be sure that the client agrees with the finding and that ALL deeds have been filed and recorded. Sometimes the client will be holding deeds that have not been filed and these are considered “Chest of Drawers” deeds and must be filed showing current ownership of the property.
Additional Information
It is always considered best practice to request the client to provide actual documents of current ownership. The actual documents help us to learn if the client kept a life estate when she sold, or only received a life estate when she received the property. Did they transfer the minerals under the property as well? Has the latest deed been filed or is it being held by the client (Chest of Drawers Deed).
