SNAP: G1DX Discrepancy for SDX or BENDEX on SNAP Cases

When a G1DX error is received for SDX or BENDEX, staff must review the SDX or BEN screen in IMS to identify the reported change.

  • SDX indicates SSI income
  • BEN indicates RSDI (SSA) income

It is important to enter this income into the correct FACS income blocks.

Determine Action Based on Pay Status

Pay Status: CP (Current Payment)

  1. Indicates a change in the currently received benefit amount that has not been updated on the case
  2. This information is considered verified upon receipt and action can be taken immediately
  3. Update the benefit amount accordingly in FACS

Pay Status: N98 (Possible Move)

Indicates a possible change in residency but is not verified upon receipt and residency must be verified

  • Phone call to household to determine address/residency
  • If unable to reach household by phone, send an ADM92 Request for Information requesting address verification
  • If no response is received within 10 days, the case may be closed for:
    • Reason: Failure to Provide Verification (45)
    • Effective Date: next effective date

Pay Status: T1 or T01 (Possible Death)

Indicates a possible death of individual but is not verified upon receipt and cannot be cleared solely on the information provided on the BEN or SDX screen.  Action must be taken to verify the client’s death.

Verification methods include:

    • Searching for an obituary
    • Contact other SNAP household members or the authorized representative, if any.

First, attempt to verify the client’s death by looking for an obituary or other public record.  If an obituary or death record is found, upload a copy to OnBase.  Cancel the task to Current.  Enter a case note to explain what verification was used to resolve the discrepancy.

If an obituary or other public death records for the client cannot be found, staff attempts to contact other SNAP household members or the authorized representative, if any.  This is a sensitive situation.  Please speak carefully and respectfully to the family.

If contact was made with a family member, document the conversation.  Also include the action taken in Case Notes.

If death cannot be verified:

  • Send an ADM92 Request for Information requesting contact with the agency (do NOT request verification of death, only to contact the agency).
  • Enter an outcome of “Pending Due Date” and enter a date 10 days from the date the request is mailed.
  • If no response is received within 10 days, the case may be closed for:
    • Reason: Failure to Provide Verification (45)
    • Effective Date: next effective date

Enter an outcome of “Denied/Closed” in Current.

If death is verified:

Take action based on the household composition.

Deceased is the Payee and the only person added on the case:

Close the SNAP case:

  • Reason: Death (01)
  • Effective date: Date of Death

Deceased is the Payee and has a Spouse (or other adult) added on the case:

Do NOT close the case.  Take the following steps in order:

  1. Add the spouse as an authorized representative in EBTU so they can receive an EBT card to access the SNAP benefits.
  2. Change the spouse to payee and update the marital status block.
  3. Remove the deceased individual from SNAP in the FACS Household Tab using:
  • Reason: Death (01)
  • Effective Date: Date of Death

This will deactivate the former payee’s EBT card.

Enter an outcome of “Denied/Closed” in Current.

Deceased is the Payee with children only (no other adults) on the case:

Do NOT close the case immediately.  Take the following steps (in the order listed):

  1. An authorized representative may be added in EBTU if they verify the children are in their care. This will allow the children to have the remaining benefits.
  2. Remove the children from SNAP in the FACS Household Tab using:
    • Reason: Other
    • Effective Date: next effective date

This action must be completed and the change fully updated on the case with no errors before the next step.

  1. Once only the deceased payee remains on the case, close the case:
  • Reason: Death (01)
  • Effective Date: Date of Death

Enter an outcome of “Denied/Closed” in Current.

Clear the G1DX discrepancy.

Deceased is not the payee but is another household member on the case:

Do NOT close the case.  Remove the deceased individual from SNAP in the FACS Household Tab using:

  • Reason: Death (01)
  • Effective Date: Date of Death

Enter an outcome of “Denied/Closed” in Current.

Clear the G1DX discrepancy.

System Edits

System edits related to benefits issued for the month of removal may occur and may be overridden as appropriate.  Contact your direct supervisor for assistance if needed
