Child Care Subsidy: NewHow to Code Second Provider for Same Individual

A child care case may need to have two different child care providers for the same child. For instance, if the primary child care center is closed on the weekends and additional days are needed for a parent working Monday – Sat/Sun etc. There may be a case where a child care facility follows a traditional school schedule and is closed for holidays or other days.

George Shelton, recently widowed, applies for child care for his son Willie as he is employed with the City of Indio. His regular work schedule is Mon-Fri from 8:00 a.m. – 5:00 p.m. He also works most Saturdays for events that the city has. The primary child care facility is closed on the weekends.

Enter the following on the Child Care Tab in Eligibility Notebook.

  • Action Taken – Opened
  • Certification Date – Enter Date Interview Conducted and all Verification Provided (or future request date)
  • Effective Date – Re-enter Certification Date
  • Date of Last Review – Enter 1st Date of the Month of Certification

Effective Months – 99 (Enter 1 or 2 for Unfinished Issuance – if copay is being waived for initial month – waiting on first full check).

Child Care tab in Eligibility Notebook

Enter the following on the Child Care Tab in the Auth. Daycare Tab for the Primary Child Care Provider.

 Note: Blended Unit Type cannot be used in cases with two child care providers.  

  • Contract Number – Enter Contract Number of Child Care Facility that is going to provide the most care
  • Action Taken – Open
  • Reason – Enter Need Factor for Child Care
  • Child Care Req Date – Enter application date
  • Begin/Change Date: Enter Certification Date – Date in which child care is to begin
  • Unit Type 1: (Daycare Plan) – Enter Unit Type
  • Number of Units: – Enter appropriate number of units
  • Co-pay Exempt – Enter N
  • Notice Indicator – Application Approval

Auth. Daycare tab

  • Click on any field in authorization and then Hit “Insert” key on keyboard to generate a new auth daycare screen.

 Enter the following on the Child Care Tab in the Auth. Daycare Tab for the Secondary Child Care Provider

  • Contract Number – Enter Contract Number of Child Care Facility that is going to provide the most care
  • Action Taken – Open
  • Reason – Enter Need Factor for Child Care
  • Child Care Req Date – Enter application date
  • Begin/Change Date: Enter Certification Date – Date in which child care is to begin
  • Unit Type 1: (Daycare Plan) – Enter Unit Type
  • Number of Units: – Enter appropriate number of units
  • Co-pay Exempt – Enter S
  • Notice Indicator – Application Approval

  • SAVE THE CASE / SUPERVISOR APPROVAL

Both authorizations can be viewed on the EKL screen in IMS.
